What is IQ Second Brain?

An enterprise second brain is not a wiki or a well-organized notes folder. The difference is not the quality of the memory, it is the three layers around it that turn memory into operation. Without them you get an archive somebody has to feed by hand and nobody opens again.

IQ Second Brain installs four layers. Senses that take in email, calendar, meeting transcripts and documents with nobody copying or pasting anything. Encrypted append-only memory that requires a source citation on every claim. Nerves that turn what was said in a meeting into a commitment with an owner and a date, and bring it back when it is due. And an immune system that, faced with two sources that contradict each other, flags both and waits for a person.

This is the same architecture IQ Source has run internally in production since April 2026. It is not a theoretical design. It is the system we use to prepare proposals against precedent from ten or more comparable engagements, to follow the commitments of every active project all the way into the tracker where the team actually works, and to catch when a decision made this month contradicts one made last month.

The architecture

Four layers, and the test that proves each one

Memory is table stakes. These are the four layers that separate a brain from a graveyard of notes, each with the concrete test that verifies it.

    Senses

    The brain takes in the world without being asked. Email, calendar, meeting transcripts, documents and the business chats you choose to include land on their own, each piece carrying its origin and its date. The team's only daily obligation is to work normally.

    Test that it exists If somebody has to type into it, it is a diary, not a brain.

  2. 02

    Memory

    An encrypted, append-only record. Every claim carries a reference to the source it came from, and that reference opens. No run of any agent rewrites or deletes a line that was already written.

    Test that it exists If it accepts unsourced claims, it is building a graveyard.

  3. 03

    Nerves

    What was said in a meeting becomes a commitment with an owner and a date, and travels into the system where your team actually executes. The bridge leaves a receipt that the item landed, not that it was attempted.

    Test that it exists With no bridge, every commitment dies in a note.

  4. 04

    Immune system

    When two sources contradict each other on something with consequences, a price, a scope, an agreed condition, the system records both versions with date and origin, flags them, and does not choose. A person resolves it.

    Test that it exists Silent overwrite is what destroys trust in the system.

All four are verifiable at delivery. Every phase of the project closes against an acceptance criterion written in advance, not against a demo.

The guarantees

What the brain cannot do, by architecture

A rule written into an instruction can be worked around with the right question. These four are not instructions, they are properties of the system, and each one is testable.

  1. Encrypted at rest, with your key

    The entire repository is encrypted and you hold the key, not us. A lost backup or a stolen machine stops being equivalent to a leak. Filenames give nothing away either: every record is named by an opaque identifier, not by the client or the deal.

    How it is verified Clone the repository on a machine without the key and confirm the content is unreadable binary.

  2. It executes only what you authorized

    The brain executes: it schedules, reminds, updates records and drafts. Each capability is enabled separately and written down before anything is connected, so the scope of what it can do is exactly the list of credentials you gave it. You decide how far it goes, and anything that leaves your company passes through the approval queue first.

    How it is verified By reviewing which credentials were configured and with what scope. It is a short list, and a capability that is not on it cannot be used by mistake.

  3. Real compartmentalization, not permissions

    If there is information a role must not see, fees, particular terms, judgment notes, it is not solved with permissions over a single vault. Separate vaults are mounted under different operating system users. A vault that does not contain the data cannot reveal it.

    How it is verified With an operating system permissions test. A battery of questions to the model does not prove the data is absent, only that it did not come out this time.

  4. Portability with no rescue period

    All content is versioned plain text and lives separate from the code from day one. If tomorrow you want another vendor, you take it as is, with the full history and with the date and author of every change. There is no surgical extraction and no migration to negotiate.

    How ownership splits The content and the records belong to your company. The product and the code belong to IQ Source.

The price of holding your own key is that if it is lost, the encrypted history is lost forever. No recovery, no vendor backup, no back door. We say this before signing, not after.

How it gets implemented

Architecture and judgment

We build the knowledge model: what the entities of your business are and what fields each one carries. And we capture what cannot be derived from any document, which is your judgment. What disqualifies a deal on sight, what assumptions you project with, what signals have already fooled you. It is the only piece that cannot be delegated, and it is what makes every analysis come out shaped like your company's thinking.

Senses

We connect the sources in production: email, calendar, document storage, meeting transcripts and the business chats you choose to include. The rules of what enters and what stays out are written down before anything is connected. The acceptance criterion is a week of real operation with zero manual uploads, and a question about that week answered with sources.

First agents

We build the first batch of agents, the ones that absorb the stages of your operation that do not require your judgment. Each is specified with purpose, trigger, inputs, output and acceptance criterion. The acceptance criterion is what gets tested before the agent is considered delivered, not an impression at the end.

Follow-through and control

The second batch: control of commitments made in meetings, periodic reports, tracking of billing milestones, and the separate vaults for roles that must not see everything. The approval queue is added, which is the only write action in the interface.

Why it works

Every answer carries its source

The brain does not offer opinions. When it answers, it names which email, which meeting or which document it came from, and the reference opens. That is what makes it trustworthy in a decision that matters, and what stops an invented claim from settling in as history.

Judgment stops living in one head

The rules of the business, the specific cases that produced them and the lessons that correct them are stored separately, not merged into one document. Merging them feels simpler at first and becomes useless within a year: a rule without the cases that produced it cannot be reviewed or argued with.

Capacity goes up without hiring

In a services business the limit is rarely the market. It is how many fronts the person holding the judgment can sustain at once without quality dropping. The brain absorbs the stages that do not require that judgment outright, and prepares the ones that do up to the point where judgment begins.

It installs on top of how you already work

There is no new tool for the team to learn and no form to fill in. The sources are the email, the calendar, the meetings and the documents that already exist. This is the fifth knowledge-management cycle since 1990, and in the previous four the tool got adopted before the discipline that held it up. A system that requires new discipline to function is abandoned in three weeks.
